AI & Automation Services for SMEs & Non-Profits

Practical AI, CRM and automation - without the noise

Most New Zealand businesses have already “switched AI on” – but few have changed how they actually work because of it. We help Auckland SMEs and non-profits close that gap: picking the right tools for your real bottlenecks, setting up the systems behind them, and training your team until it sticks.

The Problem

Everyone is using AI. Not everyone is getting the benefit.

New Zealand businesses have adopted AI faster than almost anywhere else – recent research puts business AI use at over 80%, and small businesses using AI meaningfully outperform those that do not. But there is a well-documented gap between switching a tool on and actually changing how the work gets done. Most of the productivity gain people expect from AI comes from redesigning a process, not just adding an assistant on top of it – and that is the part small teams rarely have time to figure out alone.

For a small business or non-profit, that usually looks like:

  • A team using ChatGPT or similar tools occasionally, but with no real process around it
  • Donor, volunteer or customer records scattered across spreadsheets, inboxes and sticky notes
  • Quotes, follow-ups or reporting still done manually, one at a time
  • No one sure which of the dozens of “AI for business” tools being marketed at them is actually worth getting into and paying for

We built this service to fix that specific gap – not to sell you more software.

What We Offer

Business & Tech Health Check

A plain-English audit of what you are using now, where time is being lost, and the 2–3 changes that would genuinely make a difference. For non-profits, this includes how donor and volunteer information is managed; for SMEs, it usually centres on quoting, admin and customer follow-up.

AI Tool Selection

We know the major general-purpose AI assistants - ChatGPT, Claude, Gemini and Meta AI - well enough to recommend which one, if any, suits how your team actually works, plus any task-specific tools worth adding on top. You get one clear recommendation, not a 20-tab comparison chart.

CRM & Automation Setup (Zoho / Bigin)

Our affiliate Mello being a Zoho partner, we set up simple, affordable CRM systems - contact and customer or donor records, email integration, and pipeline visibility - without the cost or complexity of an enterprise platform. On top of that, we build light automation for the repetitive stuff: follow-up reminders, quote-to-invoice handoffs, donor acknowledgement emails, volunteer scheduling nudges. Nothing elaborate — just the manual steps taken off your plate.

Hands-On Training

We do not install software and disappear. We train your team to be comfortable using it day to day. This is the step most AI initiatives skip, and it's the one that determines whether any of it sticks.

Who This Is For

Small and medium businesses — tradespeople, retailers, professional services teams — who want less time on admin and more time on the work that pays.

Non-profits and community organisations — who want donor and volunteer management that does not rely on one person’s memory and reporting that does not eat a whole weekend.

Sole traders and startups — who need the basics set up properly from day one, without enterprise-level cost.

How It Works

  1. Free chat — Tell us where the pain is. No obligation, no sales pitch.
  2. Health check — We look at what you are using now and where the gaps are.
  3. Recommend & set up — We pick the right tools and systems for you, not the most tools.
  4. Train & support — Your team gets comfortable using it, with ongoing support if you need it.

Who This Is For

We are not tied to selling you any one AI product – our job is to find what actually fits your business, not to hit a software sales target. As Zoho partners we can go deeper on CRM and automation than a generalist AI consultant, and as a small Auckland agency we understand the reality of a five-person business or a volunteer-run non-profit: limited time, limited budget, and no patience for tools that need a full-time IT person to run.

Frequently Asked Questions

It depends on the business. We generally start with the general-purpose assistants most teams may have some access to – ChatGPT, Claude, Gemini or Meta AI — and only add task-specific tools where there is a clear, specific bottleneck to solve, such as quoting or scheduling.

Both. A large part of our AI and automation work is with non-profits and community organisations, particularly around donor and volunteer management, reporting, and freeing up time currently spent on manual admin.

We can usually build on what you already have. Setup review, automation, and training are often more valuable than switching platforms.

Most teams already have access to AI tools — the gap is knowing which one fits, setting up the systems around it, and training everyone to actually use it consistently. That is the part we focus on.
